This position will start at ~10 hours per week, with general flow and availability determined by the contractor. The expectation is that NACPM will be able to increase hours quarterly as we ramp up several key efforts scheduled for 2024. NACPM does not anticipate this position being greater than 20 hours a week in the next year and is hopeful it will eventually grow into a full-time staff position. Pay will be between $20-25, commensurate with experience and skills.
Overview
As an Executive Assistant at NACPM, you will directly support the Executive Director in a remote capacity. This role demands high administrative proficiency, including managing emails, coordinating schedules, and organizing travel plans. The ideal candidate should have a robust Internet connection and proficiency in communication technologies such as Zoom. A key aspect of this position involves handling data, including inputting, exporting, and organizing data files, requiring proficiency with CSV files and spreadsheet management. Your ability to independently manage administrative projects and produce quality work with minimal oversight is essential.
Key Responsibilities
Efficiently handle emails and phone calls
Coordinate and schedule meetings
Organize travel arrangements and accommodations
Maintain and update contact lists
Manage customer data and online records
Handle CSV file data processing
Conduct market research
Develop presentations as required
Provide first-line customer service
Administer Gsuite
Process reimbursements for board and staff
Contribute to drafting sections of BOD and employee handbooks
Support planning and organizing events
Update and manage fundraising platforms
Research potential funders
Undertake data entry tasks
Maintain simple web platforms
Oversee the Basecamp master calendar, including meetings and events
Qualifications and Skills
Proven experience in a Virtual or Executive Assistant role
Strong communication abilities
Teamwork oriented
Proficient in project planning and critical thinking
Familiar with digital collaboration tools and cloud services
Skilled in report writing and drafting narratives
Quick learner of new software systems
Proficient in word processing and spreadsheet software
Knowledgeable in online calendar management (e.g., Google Calendar)
Excellent communication skills across phone, email, and messaging platforms
Effective time management and organizational skills
High school diploma required; additional qualifications in Administration or as an Executive Assistant are advantageous
